Event Guidelines

Location: Hitachi Energy Arena & The Barn, Wythe County, VA
Event Dates: November 27th – December 28th, 2025

 

 Spectator Guidelines

To make this a magical and safe experience for all, please follow these rules:

  1. Ticketing & Entry

    • Tickets must be purchased online or at the gate. Keep your ticket available for scanning.

    • Follow traffic patterns and event staff directions at all times.

  2. Safety & Respect

    • No outside alcohol, illegal substances, or dangerous items allowed.

    • Respect other guests, vendors, and displays. Do not touch or damage decorations.

    • Children must be supervised at all times.

  3. Parking & Drive-Through

    • Follow the speed limit and event traffic rules while in the light display.

    • Remain in your vehicle during the drive-through portion. Stopping is allowed only in designated areas.

  4. Photography & Sharing

    • Personal photography is encouraged! Use hashtag #WytheChristmasLights when sharing.

    • Commercial photography or drone use requires prior approval.
       

 Vendor Guidelines

Vendors play a vital role in making our event special. Please review these expectations:

  1. Attendance & Setup

    • Vendors must attend every night The Barn is open.

    • Setup must be completed 1 hour before gates open; teardown is only after closing.

    • Maintain your space clean and safe at all times.

  2. Permits & Compliance

    • All food vendors must have proper health department permits and insurance.

    • Electrical needs must be confirmed with event staff prior to setup.

  3. Sales & Conduct

    • Only approved products may be sold. No counterfeit or unsafe items.

    • Vendors are responsible for their own cash handling and sales tax compliance.

    • Friendly, professional interactions with guests are required.

  4. Cancellations

    • If you cannot attend, you must notify event staff at least 72 hours in advance.

    • Failure to attend without notice may result in forfeiture of vendor fees and future participation.

Partnership Guidelines

  • To ensure a successful partnership and maximum visibility, sponsors must adhere to the following:

  • Logo & Advertising Materials

  • Provide high-resolution logos by October 15, 2025.

  • Submit any banner or signage materials by November 1, 2025 (must meet size specifications provided).

  • Activation & Engagement

  • Sponsors with on-site activations must staff booths during all open event hours.

  • Activities should be family-friendly and align with the event's holiday theme.

  • Payment & Deliverables

  • Sponsorship fees are due by October 31, 2025 to guarantee inclusion in marketing materials.

  • Sponsors must fulfill any agreed deliverables (decorated trees, vehicles, etc.) by designated deadlines.

  • Conduct

  • Maintain professional behavior and follow event staff instructions at all times.

  • Alcohol, offensive displays, or inappropriate conduct are strictly prohibited.
